Start with five useful pages
Create concise pages for shipping and delivery, returns and exchanges, product sizing or compatibility, order changes, and contacting the store. Use the words customers use in support messages. State what the policy does not cover. Link to the official checkout, tracking, or account page rather than copying sensitive instructions.
Choose the simplest publishing setup
If you already have an ecommerce platform with a built-in page or blog system, use it first. Add dedicated help center software when search, article feedback, localization, or analytics become necessary. A chatbot should be optional; the articles must remain useful without it. ProxyAI Bot Knowledge can use site content as a chatbot source, but the store owner still needs to keep that source updated.
Make maintenance small
Put a review date on each page and check it whenever shipping fees, return windows, or product details change. Keep one source of truth for each policy. Avoid pasting slightly different copies across the product page, FAQ, chatbot instructions, and email templates.
Keep a human route
A help page should not trap a customer whose order is late or whose item arrived damaged. Provide one clear contact method and a realistic response window. Capture the order number only where needed and avoid asking customers to send payment details by email.
A one-hour monthly maintenance routine
- Review the top five customer questions from the inbox.
- Check shipping, return, and contact details against current policy.
- Update one article for each repeated question not already answered.
- Test the help-center search and chatbot using a customer’s wording.
- Remove or redirect obsolete pages and record the next review date.
Keep the system small enough to maintain. A four-page help center with accurate answers is more useful than a large library copied from a template. If an AI assistant uses those pages, make sure the same contact route appears when a question involves a specific order or exception.
For a solo operator, the practical benefit is turning maintained store pages and documents into answers across customer channels. ProxyAI’s documented feature set includes exact and semantic knowledge search, spreadsheet and scanned-PDF reading, scheduled refresh, Shopify/WooCommerce/Wix connections, and handoff for exceptions. Start with a few stable policies and test real customer questions before connecting the full site.
