Choose the audience
A public help center needs accessible search, clear navigation, and a way to keep old instructions from surfacing. An internal wiki needs permissions and ownership. An AI knowledge source needs reliable ingestion, update behavior, and grounded answers with a path to the underlying source. Identify which audience you are serving first.
Compare the workflow, not the editor
Look for version history, review dates, article owners, search analytics, redirects, localization, and an easy way to flag an incorrect answer. For AI use, test how content is chunked, whether updates are re-indexed, and what happens when sources conflict. A beautiful writing interface cannot fix stale policies.
Tools worth evaluating
Zendesk’s Help Center can fit a team already using its support platform. Intercom connects help content to its customer service system and Fin. A standalone documentation product may be better if content publishing is the core need. ProxyAI’s Bot Knowledge is aimed at grounding chatbot responses in documents and site content. Verify publishing, analytics, permissions, and retention features in each current product.
Set an ownership routine
Every article should have an owner, a review date, and a link to the policy or product behavior it describes. Track zero-result searches and repeated support questions. When a policy changes, update the source of truth first, then confirm the help page and AI answer reflect it.
Treat content as an operating process
For each high-traffic page, record an owner, last-reviewed date, and source policy. Use search analytics to find empty results and support tickets to find missing topics. When information changes, update the canonical article first, then check every connected channel and AI index. Remove duplicated pages or label them clearly so old guidance does not compete with current guidance.
Test retrieval with realistic phrasing, misspellings, and multi-part questions. If the bot returns the wrong document, improve titles and structure before adding more files. ProxyAI’s Bot Knowledge guide explains how its bot uses site content and documents; it does not replace the CMS workflow that keeps those sources accurate.
For teams whose knowledge base must power customer conversations, ProxyAI documents several retrieval features beyond basic file and URL ingestion: exact and semantic search, spreadsheet data, scheduled site refresh, and OCR for scanned PDFs. See the feature comparison for the scope and caveats. These capabilities help the bot find approved material; they do not replace content ownership, review dates, or a publishing workflow.
